Abbreviated minutes of the New Alresford Town Trust Meeting - 8 February 2010

Present:

Robin Atkins (Chair), Cllr John Cattle, Cllr Roy Gentry, Cllr Mark Luckham, Peter Middleton (PM), Len Orton (LO), Pam Stevens (PS), Brian Rothwell (BR) (Clerk).

Apologies: Cllr Bryce Mansfield (BM), Bill Witchard (BW).

The meeting commenced with a one-minute silence in memory of David Goodman.

It was agreed that the year-end financial statement for 2009 be approved and then sent to the independent examiner. This has subsequently been signed by the independent examiner and issued to all Trustees and other relevant bodies including NATC.

It was agreed that the clerk would prepare a summary of the minutes of each meeting to be agreed by the Trustees. Once this was done, the result would be sent to NATC and posted on the Town Trust web site. The full minutes would remain confidential for six years until they were lodged with the Hampshire Records office.

NATC had raised the possibility that the Town Trust should lease the minibus. It was agreed that this was inappropriate and costly for a small charity. The extra cost for a five-year lease was estimated at £20k. In addition, the individual Trustees would have joint and several liability for all present and future lease payments. It was agreed not to pursue the concept of leasing.

The Sunday dates for the 2010 Continental Markets in Broad Street were announced. The two French Markets would be on 17 April and provisionally 23 October. The Italians were returning for a second year on 18 July.

The exhibits of the history and work of the Town Trust are now in place in the cabinets at The Old Fire Station. An A-Board has been ordered, to be placed outside the building to advertise the display.

It was reported that David Woods was picking up the tasks that David Goodman used to perform on the restoration of The Eel House. Various schemes for the restoration of the internals of the building and the sluices were being considered.

The Minibus sub-committee have agreed a trial contact with Sun Hill School. This would involve transporting children to and from Old Alresford on four occasions in March. If successful, this arrangement could be extended.
